What you need to know about the student email migration to CUNY Microsoft 365

Everything you need to know about the student email migration to CUNY Microsoft 365.

What’s Happening

During Spring Break 2026, every CUNY student will get a new CUNY email account. It will be ready to use when you come back to school on Monday, April 13.

This new account is an upgrade over your current Brooklyn College email. Here’s what makes it better:

  • One inbox, one login: All of your college and CUNY email addresses go to the same mailbox, so you only have to check one place.
  • You won’t miss important messages: All official emails from Brooklyn College and CUNY will go straight to your new inbox. Messages sent to your old Brooklyn College address will be automatically forwarded to your new email address.
  • Works with Microsoft 365: Your email connects with apps like Word, Excel, Teams, and OneDrive for easy file sharing and group projects.
  • Better security: Stronger protection against scam emails, suspicious links, and spam.

Your New Email Addresses

Your new CUNY email account uses the same username as your CUNY Login. The same login you use for other CUNY systems like CUNYfirst, Brightspace, and DegreeWorks.

Here’s what your new addresses will look like:

  • firstname.lastname##@login.cuny.edu: This is your main mailbox account — it’s where all your email gets delivered.
  • firstname.lastname##@stu-mail.brooklyn.cuny.edu: This is your new Brooklyn College–branded address. You can send emails from this address.
  • firstname.lastname##@cuny.edu: This works across all CUNY schools. You can send emails from this address, too.

Good to know
If you’re enrolled at more than one CUNY college, you’ll get a separate college-branded address for each one — and they all end up in the same inbox.

What Happens to Your Old Email

You don’t have to worry about losing anything. Here’s how the transition works:

  • Your old emails are copied over: CUNY will copy everything in your current Brooklyn College mailbox into your new account. You don’t have to move anything yourself.
  • You can still access your old account: Your current Brooklyn College email account stays available for a while after the switch, just in case you need something from it.
  • Emails sent to your old address get forwarded: If someone sends a message to your old Brooklyn College address after the switch, it gets automatically forwarded to your new inbox. The sender also gets an auto-reply letting them know your new address.

What You Need to Do

1. Set up your new Microsoft 365 Multi-Factor Authentication

Since this is a new Microsoft 365 account, you will need to set up a new MFA profile. You can start doing this today. See Getting Started with MFA on M365.

2. Backup and move files from your old OneDrive

You will need to copy any files in your old Brooklyn College OneDrive account to your new CUNY M365 account. Learn more about OneDrive.

3. Start Using Your New Account on April 13th

Once you’re back from Spring Break on April 13, switch to your new CUNY email account and start using it for everything.

4. Update Your Email in Other Places

CUNYfirst will automatically update your preferred email address to your new Brooklyn College–branded address. But some other services won’t update on their own. You may need to manually change your email in:

  • ManageLogin.cuny.edu (the CUNY Login self-service site)
  • College applications
  • Accommodation requests

About Your Preferred Email
During the migration, your preferred email in CUNYfirst will be set to your new Brooklyn College address. You can change it to one of your other new CUNY addresses if you prefer, but you can’t set it to a personal email (like Gmail) that’s outside of CUNY.

Helpful Tips

  • Save attachments to OneDrive or Dropbox: Instead of keeping emails just because they have files attached, save those files to OneDrive or Dropbox. This keeps your new mailbox from filling up.
  • Check your email regularly: Even before the switch, keep checking your current Brooklyn College email so you don’t miss any updates about the transition.
  • Remember the rules: CUNY’s Acceptable Use of Digital Assets and Resources policy still applies.
