What are the steps to complete the I-9 Process for the Unpaid Internship Stipend?

Given the volume of applications, incomplete or late paperwork will not be processed, and you will not receive the stipend.  
It is the student’s responsibility to follow all directions, complete all the steps accurately and meet ALL deadlines!

IMPORTANT: Make sure you have in your possession your original physical social security card and other I-9 documents, such as a driver’s license or passport (no exceptions, NO photocopies or pictures will be accepted!)

Within 2 weeks of receiving the “Next Steps” email, complete the following steps: 

Step 1 I-9 Forms:

Download & fill out all blank forms in our I-9 Folder. DO NOT UPLOAD COMPLETED DOCUMENTS TO THIS FOLDER

  • Please note: For non-residents/international students: If you are an international student, you must have received a new I-20 with CPT authorization from International Student Services before receiving the stipend.” Please email stipend@brooklyn.cuny.edu if you already have the appropriate approval.  In addition to the documents mentioned below you will also need Passport, Visa, I-94, I-20 and Employment verification letter from ISS. Upload them via the same dropbox.  

Step 2 I-9 Documents:

Due to a large amount of applications, the Magner Career Center cannot assist with the completion of these documents. If you need assistance, contact a trusted adult or your family accountant for support.

Carefully complete the following documents. All documents must be in PDF format. 

  • Completed Employer Checklist
  • Checklist 
  • Personnel for New Hire Form (List Magner Career Center as the hiring Department)
  • Sign the 2nd page of both DOL forms that were attached to the email sent to you.  
  • There is one DOL form that is processed first. The 2nd DOL form will be held until mid-internship in case we are informed by your supervisor that you failed to show up or had performance issues. 
  • W-4  
  • IT-2104 OR IT-2104E (make sure to choose the correct form based on your situation). 
  • Optional for direct deposit: If you want to get paid via direct deposit, please upload the ADP Direct Deposit form (blank one found in the folder) and a copy of a void check or bank letter.
    If you don’t choose this option, your check will be mailed to the address listed in your tax forms. 

Step 3 Scanning Supporting Documents:

Scan your social security card and the I-9 acceptable document(s). If you decide to use your passport, ensure barcode is visible and it is a color copy.

In step 7 you will be asked to upload these documents. For the I-9 meeting with fiscal, you must have the original documents (no copies)All documents must be in PDF format.  

  • Social security card.   
  • The I-9 acceptable documentation (In the folder with the blank document you will find a list of what is acceptable).  
    If you decide to use your passport, ensure barcode is visible & it is a color copy.

Step 4 Document Security:

Documents like your tax forms, Social Security Card, ID, and direct deposit information MUST be password protected, as it contains sensitive information.
Password protect all documents using the password: 1146Boylan.

How to add a password to a PDF 

  1. Open the PDF in Acrobat DC. 
  1. Choose File > Protect Using Password. Alternatively, you can choose Tools >Protect > Protect Using Password
  1. Select if you want to set the password for Viewing or Editing the PDF
  1. Type and retype your password.  
  1. Click Apply. 

Step 5 Document Review:

Review your documents carefully to make sure they are accurate and complete.
Failure to follow all instructions will disqualify you from receiving the stipend.

Check for the following:  

  • Included copy of social security card and I9 documents.
  • I-9 acceptable documents are original and unexpired.  
  • If using passport, include picture of barcode (last page on the passport) & be sure to upload the copy in color.
  • You have a physical SSN card and I-9 acceptable documents for your in-person meeting with fiscal (NO COPIES).
  • Your name and address match on the documents and IDs. 
  • Your documents are signed. 
  • IT-2104 OR IT-2104E – you used the correct form. 
  • You included all documents requested in step 2. 
  • Nothing is cut off; everything is clear to read. 
  • The documents uploaded are in PDF format and password protected.

Step 6 Document Renaming:

When creating your files to upload, please follow this format:  

“Last_Name_FirstName_DocumentType.pdf”.  
Ex: “Smith_John_Social_Security_Card.pdf”. 

Step 7 Document Upload:

  • Upload password protected documents in PDF format to Dropbox Submission Folder.
  • Upload all documents at the same time. Uploading documents at separate times creates confusion and may result in documents being lost.

Next Steps After Uploading

  • If there’s an issue with your documentation, you will receive an email from the Magner Career Center.
    If you do receive this email, students are required to take immediate action within 3 business days of receiving the “Corrective Action” email.
    Failure to do so will result in you losing the stipend. 
  • You will receive an email from E-verify (service@i9advantage.com) to complete the first section of the i9.  
  • After everything is completed correctly and you’ve gone through the checklist, you will receive an email from the Brooklyn College FBSC Department to set up a time to do the I-9 verification. You will need the original documents with you at that meeting. You must respond to the fiscal office within a week of them reaching out to schedule your I-9 appointment. Students who do not respond within 10 days of the email sent by the fiscal office to schedule their meeting with them will lose their award.   
  • Students who NO SHOW or fail to respond to emails will lose their award. Students can reschedule once only if they notify the fiscal office in advance.  

Receiving the stipend: Typically, it takes about 3-4 weeks after you finish the I-9 process to receive the stipend. If you did not choose direct deposit the check will be mailed to the address you listed.  Reminder that taxes are withheld. We can’t estimate how much you will receive.
